Job Summary
We are looking for a highly organized and detail-oriented Part-Time Administrative Assistant to join our dynamic team. The ideal candidate will bring experience with QuickBooks invoicing, administrative duties, and a solid understanding of contracts related to School Bus Transportation, Out of District Students, and McKinney-Vento Students. This role can be partially or fully remote, offering flexibility, and you will play a key role in ensuring smooth operations and precise financial management while collaborating closely with our team.

QuickBooks Invoicing:
Create and send invoices to clients using QuickBooks on a monthly basis or as needed.
Track payments, follow up on overdue invoices, and maintain accurate financial records.
Ensure invoicing is aligned with company policies and client agreements.

Contract Management & Communication:
Initiate contact with school districts regarding potential contracts and bids.
Assist with coordinating and managing transportation contracts for students.

Scheduling & Administrative Support:
Coordinate schedules for students and drivers to ensure proper shift coverage.
Manage and respond to emails and phone calls professionally.
Organize meetings and appointments, ensuring all relevant stakeholders are informed.
Prepare, update, and maintain documents, spreadsheets, and reports.
Assist with organizing company files, records, and important documentation.

General Office Support:
Provide support to team members as needed to streamline office processes.
Contribute to improving efficiency in daily operations.

Additional Responsibilities:
Answer incoming phone calls and direct them to the right person.
Organize and attend meetings, taking detailed minutes when necessary.
Draft and distribute emails, memos, and letters.
Contribute to company reports, ensuring accuracy and clarity.
Maintain a well-organized filing system and develop office procedures as required.

Qualifications
High school diploma or GED required; an Associate's degree or formal administrative training is a plus.
Previous experience as an Administrative Assistant or in a similar role is highly preferred.
Familiarity with standard office equipment (printers, fax machines, etc.).
Strong computer skills, including proficiency in Microsoft Word, Outlook, and PowerPoint.
Exceptional organizational skills with the ability to prioritize tasks and manage time effectively.
