About the Role:

As a CBRE Executive Assistant, you will provide support for business operations by conducting research, updating, and maintaining databases, preparing company forms, and maintaining confidential files.

This job is part of the Administrative Services job function. As an Executive Assistant, you will play a critical role in providing high-level administrative support. You will be responsible for managing their busy schedules, coordinating meetings and events, handling confidential information, and ensuring the efficient operation of their offices.

What You’ll Do:

  • Calendar Management: Proactively manage and prioritize the calendars of the CIO and President, scheduling meetings, appointments, and travel arrangements.
  • Communication: Serve as the primary point of contact between the executives and internal/external stakeholders, screening and directing inquiries as appropriate.
  • Meeting Coordination: Organize and coordinate meetings, conferences, and events, including preparing agendas, materials, and meeting minutes.
  • Travel Arrangements: Make travel arrangements, including flights, accommodations, and itineraries, to ensure efficient and stress-free travel for the executives.
  • Document Management: Prepare and edit documents, reports, and presentations with a high degree of accuracy and attention to detail.
  • Expense Management: Track and manage expense reports for the executives, ensuring compliance with company policies.
  • Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Project Support: Assist in various projects and initiatives, providing research, data analysis, and administrative support as needed.

What You’ll Need:

  • Proven experience as an executive assistant or similar role, preferably supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Discretion and integrity in handling confidential information.
  • Ability to work independently and prioritize tasks effectively.
  • A proactive and adaptable mindset.
  • Ability to work in the office 4 days per week.

CBRE Investment Management carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for this position is $115,000 annually and the maximum salary for the position is $125,000 annually. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience. Successful candidates may also be eligible for a discretionary bonus based on CBRE IM’s applicable benefit program.
