Job Overview

We’re seeking a detail-oriented, proactive Real Estate Assistant to join our team full-time. You’ll be the backbone of our transactions, coordinating schedules, managing communications, and ensuring every client’s journey is exceptional. Whether unlicensed or licensed, you’ll support our agents in delivering the value and flexibility our clients rave about.

Key Responsibilities

Communication

  • Act as the hub for deadlines and updates, liaising with clients, escrow officers, lenders, and agents.
  • Track and record contract deadlines, keeping all parties informed and ready for closing.
  • Follow up post-showings with feedback and next steps for clients and agents.
  • Establish regular communication schedules and maintain meticulous records.

Database Management

  • Keep accurate transaction timelines, listing changes, and contact records in our CRM (e.g., Copper).
  • Ensure all contact and opportunity fields are complete and current.
  • Add key dates and numbers to shared calendars for team alignment.

Documentation and Legal

  • Assist sellers with disclosures, draft contracts/counteroffers, and manage amendments/addendums.
  • Collect signatures, submit documents, and ensure compliance with legal and brokerage standards.
  • Review contracts, disclosures, title reports, and closing statements for accuracy.

Scheduling and Coordination

  • Schedule showings, inspections, appraisals, and final walkthroughs.
  • Coordinate closings with lenders, title companies, and escrow officers.
  • Arrange sign/lockbox delivery and pick-up; confirm financing and title clearance.
  • Add critical dates (e.g., option periods, financing deadlines) to the agent’s calendar.

Listings

  • Gather property details from sellers and title companies; order professional photography.
  • Upload listings to MLS and platforms, craft engaging descriptions, and manage virtual tours, and manage marketing materials like flyers.
  • Update MLS statuses (e.g., Active Under Contract)
  • Maintain listing while on the market, i.e. Open House Scheduling, repairs, schedule maintenance.

Client Relations

  • Track client milestones (birthdays, anniversaries) and coordinate closing gifts or events.
  • Follow up with clients at 1 month, 3 months, and 1 year post-closing to ensure satisfaction.

Inspections & Market Monitoring

  • Ensure property access for inspections, file documents, and coordinate repairs/credits.
  • Monitor market trends for price adjustments and share showing feedback.

Compliance and Final Steps

  • Verify option/earnest money receipt within 3 days and confirm Clear to Close with lenders.
  • Review and submit compliance documents; coordinate disbursement authorization with title.
  • Ensure condo addendums, ECAD audits, or required forms (e.g., Lead-Based Paint) are filed.

Qualifications

  • 10+ years of real estate administrative experience.
  • Proficiency with Google Workplace, CRMs (e.g., Copper), and MLS systems.
  • Texas Real Estate License
  • Knowledge of Austin’s real estate market.

Compensation & Benefits

  • Base Salary : $40,000–$55,000/year, based on experience and licensing status.
