PRIMARY PURPOSE To perform a variety of duties in support of Mail and Print Services and the Campus Store to help ensure that all work is completed timely and efficiently. The Mail & Print Services/Campus Store Clerk is involved in processing mail, shipping and receiving, cashiering, stocking, receiving book orders, clerical work, etc. This position is open until 11:59 pm on March 27th, 2025. This position is only open to internal applicants .

Description of Essential Functions

Mailroom Services (35% of Time)

  • Provide and maintain a high level of customer service by assisting faculty, staff and students regarding mail/shipping/receiving, printing, photocopiers, supplies, work orders, etc.
  • Sort mail on a daily basis. Back up for all mailing/shipping/receiving as needed, both incoming and outgoing. Log all packages received and distributed by Mail and Print Services that have a tracking number. This includes, but is not limited to USPS, UPS, FedEx and commercial deliveries for faculty, staff, and students.
  • Distribute mail as needed. Make campus wide deliveries of mail, packages, Print Shop orders and paper, deliveries to the Post Office, etc.
  • Process mail forwarding and return to sender mail.
  • Prepare forms as required by UPS, FedEx, and USPS.
  • Receive and prioritize incoming calls to Mail services. Assist caller, direct to appropriate person, or take and relay messages.
Print Shop Services (30% of Time)
  • Process daily print orders via email and drop-offs.
  • Fill campus supply orders and deliver when needed.
  • Submit monthly billing for department charges.
  • Order campus business cards / name tags / desk plates / door plates.
  • Maintain an appropriate selection of paper weights and colors for campus staff. Maintain campus envelope supply, Scantrons, and binding supplies.
  • Replenish toner and staples as needed.
  • Replenish paper and deliver when needed.
Customer Service & Payment Handling (30% of Time)
  • Providing outstanding customer service through both oral and written communications.
  • Maintain existing professional relationships and work to create new professional relationships.
  • Work with all stakeholders, such as work studies, administrative staff, suppliers, and customers on orders and projects, including pricing, shipping timelines, and meeting deadlines.
  • When appropriate, advise customers on best strategies to achieve their desired outcomes.
  • Conduct cash, check, and/or department charging transactions. Provide receipts upon request.
  • Enter transactions into cash and checks into cash receipt journal/log.
  • Authorize and complete various transactions such as refunds, voids, and cash drawer reconciliations as needed.
  • Maintain secure cash handling procedures
  • Prepare weekly deposits.
Campus Store Services (5% of Time)
  • Perform cashier duties for the campus store.
  • Assist with daily sales operations, including keeping shelves and sales floor well stocked, maintained, and merchandised.
  • Assist with start-of-term rush, end-of-term buyback, and year-end inventory.
  • Receive and prioritize incoming calls to the campus store. Assist callers, directing to the appropriate person, or take and relay messages.
Performs Other Duties and Special Projects as Required/Assigned

Required Knowledge, Skills and Abilities

REQUIRED QUALIFICATIONS High School diploma or GED/equivalent. Two (2) years of customer service, retail, or related experience.   • Ability to work effectively and sensitively with individuals of diverse cultural backgrounds and perspectives, and abilities
  • Ability to read, review, understand, and apply concepts presented in training programs, conferences, federal and state regulations, professional literature, and other related materials pertaining to Campus Store business and Mail and Print Services operations.
  • Knowledge of applicable Federal, State, and local laws, codes, rules, and regulations.
  • Exhibit a high level of technology literacy, including knowledge of retail systems and computer software and hardware. Ability to use internet searching, Microsoft Outlook, Word, and Excel as needed. Able to learn and function in the College's information management system and learn new software as needed.
  • Ability and willingness to manage a flexible work schedule with self-discipline, including travel, various hours and possible weekends/evenings, as well as work days at other college locations.
  • Strong organizational skills with the ability to prioritize and work on multiple tasks simultaneously under constant pressure and deadlines, working effectively despite frequent interruptions.
  • Ability to consistently convey a pleasant and helpful attitude by using excellent interpersonal and communication skills to control sometimes stressful and emotional situations. Requires sufficient communication and human relations skills to resolve complaints/issues, defuse anger, and gain cooperation.
  • Ability to follow safety procedures and safely operate standard Mail and Print services equipment.
  • Ability to work independently or in a team to deliver mailing and office support services.
PREFERRED QUALIFICATIONS Applicants for this position possessing one or more of the following knowledge, skills, and abilities with receive preferred consideration through the selection process.
  • Associate degree.
  • Experience retail industry.
  • Experience in postal operations.
  • Experience in inventory management and on-line ordering systems.
  • Experience with a college wide computer information system (specifically Jenzabar).
  • Demonstrate the ability to handle many issues, items and functions at one time and deal rapidly with multiple items in prioritized sequence.
